Budgeting for workplace experience

What does a corporate wellbeing event
actually cost?

The useful question is not simply “what is the cheapest activity?” It is what the organisation receives, how many people it serves, what production is included, and whether the experience has value beyond the event itself.

What drives price?

Scale, duration, production, staffing and continuation.

Number of participants

Larger groups usually require more equipment, logistics, facilitation planning and production capacity.

Length & complexity

A short single activity is different from a structured half-day or full experiential programme with several phases.

What is included

Headphones, facilitation, planning, guided content, music, reflection and digital follow-through materially change the value of the package.

Current Luminous pricing

Clear group-size pricing for the core live experience.

Luminous prices the live experience by participant band so buyers can see the commercial range before opening a conversation.

Compare like with like

Cheap can become expensive if the format under-delivers.

When comparing suppliers, ask whether the quote includes facilitation, technical equipment, preparation, risk and delivery planning, travel, follow-up, reporting and any digital continuation.

A lower headline price can represent a very different product. Procurement teams should compare the whole delivery model rather than just the session length.

For budgeting

Start with the number of people, the outcome you want and whether this is a one-off event or the beginning of a wider experience.

Those three things usually narrow the right format quickly.

Beyond the event

Consider cost per meaningful touchpoint, not only cost per day.

A live event can stand alone, but the 90-Day Integration Portal creates another route: the experience becomes the first touchpoint in a longer employee journey. That can change how an organisation thinks about value, continuation and repeat engagement.
